Who needs a check?

From 1st April 2011, all primary care services directly providing dentistry (privately or within the NHS) need to be registered with the Care Quality Commission (CQC). As part of the registration process the CQC will undertake a DBS check on the Provider (the legal entity that provides the service) and the nominated Manager (the individual who manages the day-to-day operations of the Provider).

All other people requiring DBS checks must be checked by the Provider. Each organisation should run a risk assessment on the roles within the Practice to decide who should have a check and at what level that should be. This includes contracted staff, temporary staff, bank staff, practitioners working under practising priveleges, volunteers, students and learners. Common roles within the Dental Industry that may require a check include:

  • Dentist
  • Dental Nurse
  • Practice Manager/Co-ordinator
  • Hygienist
  • Implantologist
  • Orthodentist
  • Oral and Maxillofacial Surgeon
  • Dental Receptionist

Meeting the CQC inspection criteria.

The CQC will ensure compliance with Regulation 21 of the Health and Social Care Act 2008 (Regulated Activities) Regulations 2012. As part of this process they can request evidence that a suitable DBS Disclosure was obtained when an employee was appointed to a role, and prior to being allowed to work unsupervised with children and/or vulnerable adults. For any employees contracted prior to introduction of these regulations the responsibility falls on the employer to ensure they are fit to work in that role.

Our systems are designed to easily allow account holders to provide this evidence to an inspector, either by printing a ‘Preview Disclosure Notice’ from the Client Area which can be stored in personel files, or by using the ‘Manage Applications’ section of the Client Area. These documents and screens also comply with Data Protection principles to ensure staff members’ personal information is kept safe and secure.

Our online DBS application system makes the process easy for applicants to enter their form information and select the documents they intend to present in support of their application. The checking of these documents can then be adminstered by a single person such as a Practice Manager or delegated to other team members such as a Practice Administrator or Dental Receptionist.
