Tracking & filing facilities for clients
Each Requester who registers (a client can have multiple Requesters) is given a user name and password to access their Client Area on our web site. This is a read-only view of our operational systems so you see what we see. We have nowhere to hide if we make any screw-ups!
Here clients can :-
| Action | How |
|---|---|
| Submit new applicants | Just complete the web-form provided |
| Track the progress of applications that they have requested (only) from submission to DDC through to completion or withdrawal | This facility provdies a read-only view of DDC's production database so is 100% accurate. Even new applicants will be shown immediatley they have been submitted. |
| See the captured contact data we hold for each applicant | This can be more accurate than personnel files as it has been (or will be) verified with proof of address and proof of ID documents |
| See the notes we have made regarding the response to reminder calls, documents seen and recorded delivery number used when returning them | Clients can track and trace the return of documents via the Royal Mail web site if they wish (we will do it also) |
| See the Disclosure Application Form number | This is required if clients wish get their own on-line status update from the CRB for applications at the CRB (though we will also be monitoring this). |
| See the number and issue date of a Disclosure received by DDC | This will remain on the system for 3+ years so many clients use this as the primary source. |
DDC's systems are based on a commercial relational database with bespoke front-end applications. The system is hosted in a professionally managed, secure data centre in the City (of London) which offers 24/7 availability. Access uses secure 256 bit encypted SSL with Extended Validation.
The site offers a range of tools including CSV downloads for importing Disclosure data into in-house systems
