Due Diligence Checking Ltd. (DDC) are an approved ‘e’ Registered Body that provides online applications via the DBS e-bulk system. This allows DDC to submit and receive multiple electronic applications via a secure and trusted connection. We submit over 99% of our DBS applications via e-bulk, including those submitted to DDC on paper forms. This ensures clients and applicants receive a secure and reliable service with every check.

DDC was one of the first Registered Bodies to complete the process of moving to e-bulk, and have been successfully submitting electronic applications since 2009. This includes the numerous upgrades, amendments and changes that the DBS have implemented.

What is the DBS e-bulk system?

The e-bulk system is the name of the system ‘e’ Registered Bodies use to submit applications to the DBS electronically.  This submission method is available to Registered Bodies who submit a minimum quantity and meet the DBS strict criteria. This includes:

  • Submitting more than 1,500 applications annually
  • A proven ability or willingness to develop sufficient IT infrastructure to be able to securely send applications electronically to the DBS.
  • Have undertaken the application and auditing processes to demonstrate strict adherence to the DBS requirements, which are refreshed regularly.
  • The facility to process DBS invoices quickly and accurately;
  • Have authorisation from the lead countersignatory

How does the DBS e-bulk system work?

The DBS e-bulk system transfers data from an Umbrella Body to the DBS, and back again, securely through encrypted and secure SFTP channels. This guarantees the accuracy of the data being submitted to the DBS and the security of the connection. All data is passed through a mutually encrypted connection, using industry-standard SSL technology. Data is sent to the DBS in short busts, so the connection is only activated when required. Data is only stored on a dedicated, secure server and is never retained for longer than necessary. All e-bulk systems are required to undergo a comprehensive series of tests and assessments before going live. The flow diagram below illustrates a typical e-bulk process:

Why use the DBS e-bulk system?

Simply put, e-bulk is faster, more secure and more accurate than conventional applications using paper. The e-bulk service offers:

Reduction in application rejections – submitting applications electronically and by utilising our built-in cross referencing and error checking systems, ensures accuracy with every check. Our ‘Smart Form’ only allows the applicant to proceed when all the information is entered correctly.

Reduction in lead times – e-bulk significantly reduces the average Disclosure lead time allowing you to place your candidates in roles without delay.

Electronic results – save time chasing clear disclosure certificates with online results. Once an application has been issued by the DBS, you will be notified of the result without the need to wait for the paper certificate to be posted to the applicant. We will tell you about applications with conviction information too so you only have to see those certificates. Currently, DDC receives Standard DBS checks in an average of 48 hours and Enhanced DBS checks in an average of 8 calendar days

It is not unusual for a disclosure to be received on the same day as the application was initiated due the fast and secure e-bulk system.
