  2. Fits with your organisational structure – Clients with dispersed offices or staff locations can outsource the administration to DDC, whilst retaining process oversight from a central location, such as a central office, HR Department or allow multiple location access.
  3. Single management interface – Busy HR Teams or small organisations can manage their application with a single interface, using our dynamic Client Area.
  4. Control the workload – Our systems allow you to create a filter, so only applications that contain content require specific HR action.
  5. HR-led decision making – The employment decision can be directed to a HR-trained or suitably authorised person, without the need to involve local managers or administrators with potentially sensitive HR issues. This enables you to develop a consistent approach to risk management and ensures a robust recruitment procedure.
  6. Avoid manual errors – We submit 99%+ of our DBS applications using the electronic eBulk service. This has allowed us to develop our own application forms which are much easier to complete than the DBS forms. These are simplified to a double sided A4 Sheet. These forms can be completed in any colour ink, and only need to be legible for us to transfer the data online which leaves making a mistake a problem of the past.
  7. Applicant follow-up process – Chasing applicants to complete the form is the last thing you want you or your staff to be doing so DDC take care of this. Our process involves a series of follow-up reminder steps to encourage the applicant to complete the process in a timely manor. this included text messages, emails and phone calls.
  8. Automatic recheck reminders – DDC’s system can be set to accommodate re-check periods from 1-99 months and an e-mail notification to Requesters can be generated giving 1-6 months notice that the re-check period is due to elapse. The e-mail is purely for information and no action will be taken unless we are instructed to do so.

Tailoring Our Online System

There are several areas within the online process which can be altered to meet your requirements. These include:

  • Switching on and off functionality which is only applicable to your organisation to give a clean and simple portal.
  • Clients can request that applicant’s pay for their own check either as an account setting or an individual application basis.
  • The follow-up process can be tailored to meet the requirement of the Client by nominating the time periods between attempts at contact, and any preferred format.
  • If an applicant is not confident using a web based program you can sit with them and complete the process together.
  • If the applicant does not have a current email address you can enter your own information and then print off the log-in details and hand these to the applicants.

We have a set reminder process to ensure that the applicant has received our initial communication and is in the process of completing the form. It is also beneficial to provide a point of contact for the applicant and answer any questions they may have. We can monitor when the applicant logs-in to the form and complete certain actions and can notify you at certain points in the process. The paper application system can be altered in several ways to meet specific requirements. These include:

  • Blank application packs can be posted to the Client, to be issued directly to the applicant.
  • Bulk return of packs within the same envelope.
  • Clients can request that applicant’s pay for their own check either as an account setting or an individual application basis.
  • Clients can be provided with guidance on checking documents for their employees, and send certified copies through to us.
  • For large Clients bespoke application packs can be created to ensure a consistent HR process.
